Event Rules and Terms and Conditions of Participation to Barclays MoonTrekker 2025
Age Requirement - Participants must be at least 18 years old on the night of the race.
Training Partner - We strongly recommend hiking with a partner during training. Injuries or getting lost can happen, even to experienced hikers—especially at night or in bad weather. If hiking solo, inform a friend or family member of your exact route, expected finish times for each section, and maintain regular contact.
Fitness, Ability & Recommended Equipment - MoonTrekker is a challenging and technical trail event. Participants should only attempt the course within their tested abilities and must have trained appropriately. Essential equipment includes (but is not limited to):

Fully charged phone in a waterproof case

Printed map and pre-downloaded GPX map (due to possible poor reception)

At least 1000ml of water

High-quality torch or headlamp plus a backup torch

Emergency calories

Windbreaker and space blanket (if cool weather is expected)

Proper worn-in/tested hiking shoes and clothing

Whistle, anti-chafing lubricant, band-aids, pressure bandage

Any necessary personal medication
Weather - Participants are responsible for checking weather forecasts and preparing accordingly. The event will be canceled in cases of black rain, Typhoon Signal No. 8, or other extreme weather conditions.
Route Navigation - Participants are solely responsible for navigating the course. Familiarize yourself beforehand, download GPX files, or hike with someone who knows the route. Directional markings may be missing or removed. Organizers are not liable for participants who stray from the official route. The route may be updated or rerouted at the organizer’s discretion or to comply with government regulations.
Race Start Time - The race will start between 8:00 PM and 11:00 PM. Please check the official info page for the latest start time details.
Physical Injury and Liability - Participation in MoonTrekker, including training, carries inherent risks of injury or death. MoonTrekker Limited, its organizers, partners, vendors and sponsors accept no liability for injury or death. All participants must ensure they are physically fit and have no medical reasons preventing participation. By registering, participants agree to all terms and conditions.
Team Timing and Start Times - Your official team time is recorded when the last team member crosses the finish line. If any team member does not finish (DNF), only unofficial times will be recorded for the team. Teams should start at their designated time. If you start later than your category’s official time (e.g., a solo Moonlit entry joining a team start), your official race time will begin at your category’s scheduled start time.
Fundraising - Participants must raise a minimum of HK$500 for our charity partner via SimplyGiving before collecting their race pack. Fundraising donations are non-refundable, even if the event is canceled.
Photography and Video Use - Barclays MoonTrekker reserves the right to use any photos or videos of participants taken by event photographers, volunteers, or other participants. These images may be used in promotional materials, websites, newsletters, media releases, and shared with third parties and sponsors for promotional purposes.
Race Pack Collection - Failure to collect your race pack at race pack collection day may result in an administrative fee and forfeiture of any premiums distributed on race pack day. Overseas participants may collect their packs at the race start.
Event Cancellation Policy - If the event is canceled due to force majeure (weather, permits, pandemics, etc.), we will attempt to postpone to December 5th or within 10 weeks of the original date. If postponement is not possible, 50% of registration fees will be refunded (excluding transaction fees charged by Race Time Solutions). Charity donations are non-refundable. If you cannot attend the postponed date, you may transfer your registration to another participant. MoonTrekker is a small organization that invests significant time and resources into the event and cannot absorb the full risk of cancellation.
