Event Rules and Terms and Conditions of Participation to Barclays MoonTrekker 2022

Age: Participants must be 18 years old or above on race night.

Training Partner: For your safety you should not hike by yourself. Sustaining injuries or getting lost, are not uncommon - even for experienced hikers, especially during night hiking. We do not recommend hiking by yourself, but if you do, you should inform a friend/family member of your itinerary who can monitors your progress, they should be in regular touch, aware of your exact route, expected finish time for each section. Please be responsible.

Fitness, ability and equipment: The MoonTrekker route is a tough, technical trail event. Participants should hike within their own tested abilities and carefully plan their training sessions accordingly. They should bring the appropriate training supplies and equipment including (but not limited to), fully charged phone (in a waterproof container), printed map as well as a pre-downloaded map (as internet reception can be weak), sufficient water, lighting/backup lighting, food, personal medication, and appropriate hiking gear and clothing.

Weather: Participants are responsible for checking the weather before and during any of your hiking activities. You should not attempt any hiking during inappropriate weather (including heavy rain, strong wind, typhoons, storms and lightning). MoonTrekker will be canceled, delayed or postpone if the weather is inappropriate.

Route Directions: Participants are responsible for familiarizing themselves with the route in their training hikes. Although we will place down some directional markers, these may be removed (it happens), or missed etc. The organizer accepts no responsibility for participants who do not follow the correct route. We strongly recommend practice runs before taking part in the race.

Race Start Time: Race start times will take place between 8pm-8.30pm (Sunrise 40) and 10.30pm-11pm (Moonlit 30km). Participants must complete the race within 12 hours.

Physical Injury: Participants accept taking part in the MoonTrekker race and training has an inherent risk of injury. Organisers or affiliates of MoonTrekker Limited including its partners and sponsors accepts no responsibility whatsoever of participants including death or injury. All participants must ensure that they are physically fit to participate in the MoonTrekker training and MoonTrekker race and that they know no reason why it would be ill advisable for them to take part. By submitting his or her entry, each applicant agrees to obey and accept all the terms and conditions of participation.

Category Changes & Substitutions: Once registered, participants can only change their category (i.e. from a team to a pair, or a pair to a solo etc) or make substitutions until the 1st November. We will charge a HK$100 admin fee per person for any changes. Category changes will not be accepted after the 1st November.

Team Times: Your official time will be the time of your last team member to cross the finish line. If any of the team do not finish (DNF), the team members will receive unofficial times only.

Fundraising: Participants are not required to raise money for our charity partner in 2022, however, we encourage each participant to raise a minimum of HK$500 via SimplyGiving. Additional payments can be made through other means.

Refunds: Once registered, there will be no refunds issued for MoonTrekker 2022 (unless the event is canceled - see below). This includes and not restricted to being of non 'blue' code in the stay home app, failure to show full vaccination records (according to the HKGOV vaccine pass system) or having contracted COVID.

Photographs and Video Usage: Barclays MoonTrekker reserves the right to use any photographs or/and videos of participants taken by our event photographers/participants/volunteers of participants taking part in Barclays MoonTrekker (training or the race). This images may be used (and not restricted to) Barclays MoonTrekker promotional materials including websites, newsletters or media releases. Images and videos may also be shared with third parties and event sponsors for their own promotional usage.

Race Pack: Failure to collect your race-pack may result in forfeiture of your place. We are NOT allowed to do race start race pack collection.

Cancelation policy: In the event of cancelation due to any COVID related restrictions including the inability to secure relevant government permits or other reasons (including inclement weather), we will offer to refund participant registration fees exclusive of all transactional fees (including full fees charged by our registration vendor). We will also deduct any reasonable direct costs incurred in planning the event including (and not limited to) t-shirt production costs and non-refundable venue costs/deposits. If the event is canceled during the event (due to weather or other reasons) we will not offer any refund. We hope that participants understand the challenging climate to organising events and that we must all share the associated risks in doing so. We appreciate your support and understanding.

Participants agree to the following waiver: I hereby forever release and waive my right to bring suit against the sponsors of this event and its owners, officers, directors, managers, officials, trustees, agents, employees, or other representatives in connection with exposure, infection, and/or spread of COVID-19 related to attending Barclays MoonTrekker 2022. I understand that this waiver means I give up my right to bring any claims including for personal injuries, death, disease or property losses, or any other loss, including but not limited to claims of negligence and give up any claim I may have to seek damages, whether known or unknown, foreseen or unforeseen.
