Event Rules and Terms and Conditions of Participation to Barclays MoonTrekker 2024

Age: Participants must be 18 years old or above on race night.

Training Partner: During your training, you should not hike by yourself. Sustaining injuries or getting lost, are not uncommon - even for experienced hikers, especially during night hiking. If you hike by yourself, you should inform a friend/family member of your itinerary who can monitor your progress, they should be in regular touch, aware of your exact route, expected finish time for each section.

Fitness, ability and recommended equipment: The MoonTrekker route is a tough, technical trail event. Participants should hike within their own tested abilities and should have appropriately trained on the course. They should bring the pre-tested/used equipment including (but not limited to): a fully charged phone (in a waterproof container), printed map as well as a pre-downloaded GPX map (as internet reception can be weak), 1000ml of water, high quality torch or headlamp + simple backup torch (enough to get you off the trail) , emergency calories, windbreaker, space blanket, proper worn-in hiking shoes/clothing, whistle, anti-chaffing lube, band aids, 1 pressure bandage and any personal medication.

Weather: Participants are responsible for checking the weather prior to the race and prepare accordingly. MoonTrekker will be canceled in black rain, T8 or if extreme weather is forecast.

Route Directions: Participants are solely responsible for finding their way through course. You can familiarize yourself during training, download GPX files, or participate with someone who is familiar. Although we will place directional markings, these are often removed (it happens) or can be easily missed. The organizer accepts no responsibility for participants who do not follow the correct route. The route may be updated/rerouted at the organisers discretion or to furfill government requirements.

Race Start Time: Race start times will take place between 8pm-11pm. Check our info page for the latest timing details.

Physical Injury: Participants accept taking part in the MoonTrekker race and training has an inherent risk of injury. Organisers or affiliates of MoonTrekker Limited including its partners and sponsors accepts no responsibility whatsoever of participants including death or injury. All participants must ensure that they are physically fit to participate in the MoonTrekker training and MoonTrekker race and that they know no reason why it would be ill advisable for them to take part. By submitting his or her entry, each applicant agrees to obey and accept all the terms and conditions of participation.

Category Changes/transfers/distance changes: Participants can make changes to their distance or category (i.e. from a team to a pair, or a pair to a solo etc) or make transfers/distance changes until the 4th October by using the link contained in your confirmation email (there is a blackout window from 13th- 30th September whereby packs must be collected then changes made). If you are making changes during the blackout period, participant/transferees should collect the race pack as normal and use the link in your confirmation email or email Race Timing Solutions after the blackout period with the changes.

Updating your registrations: MoonTrekker does not handle any registration changes. You must contact Race Timing Solutions (outside of the black out period) via the link in your confirmation email or email Race Timing Solutions. Admin fees are charged by our registration vendor (HK$50pp involved in the change). See point 8 for more details.

Refunds: Once registered, you may cancel your place with a refund (minus our registration vendor admin fees) until August 1st. After August 1st, there will be no refunds issued but you can still make transfers (see above).

Team Times/start times: Your official time will be the time of your last team member to cross the finish line. If any of the team do not finish (DNF), the team members will receive unofficial times only. You should start at your designated time. If you start later (for example you are a Moonlit solo entry, but wish to hike with a friend in the team start time) you can start with them BUT your official race time will start at the official time of your correct category start time.

Fundraising: Participants are required to raise money for our charity partner, each participant must raise a minimum of HK$500 via SimplyGiving prior to race pack collection day. Fundraising donations are NOT refundable at any time (including if the event is canceled).

Photographs and video usage: Barclays MoonTrekker reserves the right to use any photographs or/and videos of participants taken by our event photographers/participants/volunteers of participants taking part in Barclays MoonTrekker (training or the race). This images may be used (and not restricted to) Barclays MoonTrekker promotional materials including websites, newsletters or media releases. Images and videos may also be shared with third parties and event sponsors for their own promotional usage.

Race-pack: Failure to collect your race-pack may result in forfeiture of your place. Only overseas participants may collect their packs at the race start.

Cancellation policy: In the event of cancelation due to force majeure reasons (including weather, permits, pandemics etc), we plan to postpone the event to the 29th - 30th November. If we cannot postpone the event will refund 50% of the registration fees (excluding the transaction costs charged by Race Time Solutions (or race registration vendor). Charity donations will not be refunded. If you cannot make the postponed date, you may pass your registration to another participant. MoonTrekker is a small organisation and we work on the event all year. There is a lot of work in preparations and we cannot alone absorb the full risk of cancelation.
